  • Polycom 335 Place a Call

    You can place a call in many ways using your SoundPoint IP 335 phone:

    • Using the handset.
    • Using the speakerphone.
    • Using the headset.
    • Using Dial button.
    • Using Line 1 or Line 2.

    You can also dial the number first, and then choose the method you will use to speak to the other party. To call a speed dial number, use the dial pad to enter the speed dial index followed by the # key, and then press Dial or pick up the handset to place a call. You can search the local contact directory or the corporate directory and dial from the search results page.

    During a call, you can alternate between Handset, Headset, or Hands-Free Speakerphone modes by pressing Speaker button or Headset button, or picking up the handset.

    Call duration on an active call is monitored through a local call timer. This is visible within the active call window on the graphic display. In this figure, the call to James Dean has lasted 2 hours 48 minutes 23 seconds so far.

    To place a call using the handset, do the following steps in any order:

    • Pick up the handset.
    • Dial the desired number using the dial pad.

    To place a call using Hands-Free Speakerphone mode, do one of the following steps:

    With the handset on-hook.

    • Press Dial button.
    • Press Line 1.
    • Press Speaker button or the NewCall soft key to obtain dial tone.
    • Dial the desired number using the dial pad.

    To place a call using the headset do one of the following steps:

    With the optional headset connected.

    • Press Dial button.
    • Press Line 1, or the NewCall soft key to obtain dial tone.
    • Press Headset button.
    • You will hear a dial tone. Dial the desired number using the dial pad.

    To place a call using the Dial key, do one of the following steps:

    • Press the Callers soft key to view the Receive Call list.
    • Press Dial button to view the Placed Call list.
    • Use Up Arrow and Down Arrow to scroll through the list to find the contact.
    • Press Dial to complete the call.
  • Set Server Rules

    First you must log into your webmail account using the LookOut mail client.

    Select Rules from the menu bar at the top right of the window.

    Click in Create a new rule.

    Enter a Rule Name (this can be whatever you like). Select a Condition from the list.

    Enter some text to search for. For instance – if you want a rule to execute for any message that contains the word “support”, enter support in the field.

    If you want to add another condition for this rule, click in the Add condition button. When you are done adding conditions for this rule, skip to the next step.

    When you are done adding conditions for this rule, click in the Next button.

    Click Yes to continue.

    Select an Action from the list. Then click the Save button.

  • Install MAPI Connector

    Download MAPI Installer.

    Click in this link to download the MAPI installer from your browser. Then scroll down to the single step required to run the MAPI installer from Firefox, Explorer or Chrome. The idea is the same for all other browsers. We want to download and run the MAPI installer.

    Firefox:
    When the download completes, open the downloads window by selecting Downloads from the Tools menu, or press Ctrl-J. Double-click in the item for the MAPI installer.

    Chrome:
    When the download completes, open the downloads window by selecting Downloads from the Tools menu, or press Ctrl-J. Double-click in the item for the MAPI installer.

    Internet Explorer:
    When dialog appears asking you whether you want to Run or Save the file, click in the Run button.

    If you have never installed the MAPI connector before, when this dialog appears, click the Install button.

    If you have a previous version of MAPI installed, when this dialog appears, click the Upgrade button.

    After MAPI Installation has completed, when this dialog appears, click the No button.

    Now we need to configure Outlook to work with the MAPI connector. The instructions are very similar for each version of Outlook – the only difference is how we access the configuration dialog.

    Please note that only one vacation message auto-reply will be sent to a specific email address. You must clear the ‘Replied Addresses’ in order for someone you have already sent a vacation message to – for them to receive another.

    Log in to web mail. Then click Rules.

    Note – This is only available is you have the Admin ID and password. It will allow you to log in and change, delete or create new email accounts.

    After you are logged in to create a new email account under your domain select Objects tab. You are now going to see a Create Account button and right next to it a space to type in a name. To create a new email account type in the name that you want to select for it (do not type @yourdomain.com), click on Create Account.

    The next thing that must be done with the account is create a password. As soon as an account gets created it will go to the settings tab, here you will see a Communigate Password. Delete the dots and type in your new password. Then click Update.

    The password you have entered will be the one the user will have to enter using web mail, metricmail or when setting up their mail client, such as Microsoft Outlook.

    Differences Between Outlook Express and Outlook

    Learn how to setup Outlook Express quickly below. But first, we wanted to briefly explain where you might come across the Outlook Express email client. For those of you who use the Microsoft web browser, Internet Explorer, specifically versions 4.0 through to 6.0, Outlook Express is the email program included. Typically bundled with Microsoft Windows, Outlook Express is NOT actually a simplified version of Microsoft Outlook as many believe it to be. It is a totally different email client with an entirely different code set.  It also includes a news feature.

    Outlook Express came part of the Windows XP and Windows 2000 software packages. For Vista and Windows 7, Windows Live Mail replaced Outlook Express as the included email client. Note: Outlook Express is not compatible with the Outlook MAPI connector. The Outlook MAPI connector is only compatible with Outlook 2003, 2007 or 2010.     How To Setup Microsoft Outlook Express Email

    Step 1: Open Microsoft Outlook Express. The below screen shot illustrates how to launch Outlook Express using the Start menu on your computer.

    Step 2: Select Accounts from the Tools menu, (the 4th drop down menu from the top left).

    Step 3: Click on the Mail tab.

    Step 4: Click the Add button. Then select Mail from the menu that appears.

    Step 5: For your Display name, enter the name you want to associate with this email account. Normally, this will be your first and last name. Then click Next.

    Step 6: For ‘Internet E-mail Address‘, enter the full email address for this account. Example: accountname@yourdomain.com

    Step 7: Select the server type you will be using. Enter both the incoming and outgoing mail servers. We have used the Fastmetrics email service settings for our clients, as an example below. This will be mail.yourdomain.com. Then click Next.

    Step 8: For Account name, enter your full email address. For Password enter the password you set up for your email account. Optionally select Remember password by placing a check in that box. Then click Next.

    Outlook Express setup is now complete and ready to send and receive emails. Click Finish.

    How to configure MAPI Settings in Microsoft Outlook

    Select Manually configure server settings or additional server types. Then click Next.

    Select Other, then choose CommuniGate Pro Server from the list below. This is the Fastmetrics collaboration server storing your email, contact list, notes and calender information. Then click Next.

    Click in the Server tab. For Server Name enter mail.fastmetrics.com. Leave Server port number set at 143. Select Use the following Authentication details, then enter your account name and password.

    Note – please replace username with your username, and replace yourdomain.com with your domain.

    Then click Account Settings.

    Click the Connection tab. Select Connect using my local area network (LAN).

    Click the Advanced tab. Place a check next to Include all folders in Send/Receive operation. Place a check next to Always download entire message. Select Local Microsoft Outlook Application Data folder.

    Select the Troubleshooting tab. Place a check next to Do not display “Server transaction in progress…” dialog. You can optionally select Enable logging or leave this option unchecked. This information is useful for technical support. Then click the OK button.

  • Polycom 335 Backlight Intensity

    Backlight Intensity has three components:

    • Backlight On.
    • Backlight Idle.
    • Maximum Intensity.

    You can modify the Backlight On intensity and the Backlight Idle intensity separately. You can select high, medium, low, and off levels for both. When you modify the Maximum Intensity, you are modifying the entire backlight intensity scale.

    For example, if you decrease the Maximum Intensity, the low, medium, and high values for both Backlight On intensity and the Backlight Idle intensity decrease.

    The Backlight On intensity applies for the following events:

    • Any key press.
    • Hookswitch release.
    • Incoming calls.
    • Ending a call, holding a call, resuming a call by the other party.
    • A voice or instant message received.

    If you do not press any keys on the phone, after 20 seconds of the backlight turning on, the backlight dims (or changes) to medium in the following cases:

    • A call is in progress.
    • A call is on hold.
    • There is an incoming call (ringing).
    • There is an outgoing call (ringing back).
    • Any menu shows on the display.

    In all other cases, the Backlight Idle intensity applies.

    To modify the backlight intensity, press Menu. Select Settings, then Basic, Backlight Intensity.

    Select Backlight On Intensity.

    Use Up and Down to select high, medium, low, or off, and then press the Select soft key. The default level is High. Select Backlight Idle Intensity.

    Use Up and Down to select high, medium, low, or off. Press the Select soft key. The default level is low. Select Maximum Intensity.

    Press the Up or Down soft keys to increase or decrease the backlight intensity. Press the Ok or Cancel soft keys to accept or cancel changes. Press Menu to return to the idle display.

  • Polycom 335 Multilingual Support

    Many languages are supported by the SoundPoint IP 335 SIP phone.

    To change the language:

    • Press Menu button.
    • Select Settings, Basic, Preferences, Language.
    • Scroll through the list of available languages.
    • Press Select Key to confirm your choice. Text that appears on the graphic display will change to the language of your choice.
    • Press Menu button or the Left Arrow repeatedly to return to the idle display.

    You can customize your phone so that you can distinguish different parties by ring type.

    To set a distinctive ring type for a particular contact:

    • Press the Dir soft key.
    • Use Up Arrow and Down Arrow to scroll through the list to find the contact you wish to specify a special ring type for.
    • Press Select Key to select the entry.
    • Press the Edit soft key.
    • Press Down Arrow repeatedly until the Ring Type field is displayed.
    • Enter the number corresponding to one of the ring types available.
      Optional – To remove an existing value, press Left Arrow.
    • Press the Ok or Cancel soft keys to accept or cancel changes.
    • Press Left Arrow repeatedly to return to the idle display.

    Note – This feature is local to the phone, and may be over-ridden by your organization’s settings. For more information, contact your system administrator.
